IMPORTANT INFORMATION ABOUT WORKDAY
The University is transitioning from current HR (HRMS) and Finance (AIS/FIS) systems to Workday on July 1, 2021. This change has been in the making for more than 24 months and it is exciting to prepare for a new, more robust solution that will help us become a more data driven institution.
As we prepare for the change here are some things you should expect:
- Slightly different process for labs using Marketplace
- More to come on training aids to support this change
- Animal ordering will be initiated by laboratory staff via LAMPS system
- Some slowness from administrative staff
- The university is switching to a new chart of accounts – this is BIG!
- Data will be in two systems for some period of time
- More to come on this, too!
There are also some important dates to keep in mind. For purchasing and reimbursements:
- Reimbursements to be processed in FY21 must be submitted by 6/21/21
- Urgent orders must be in by 6/28/21
- Orders will not be processed from 6/29/21 to 7/5/21
- Orders in Workday are scheduled to begin on 7/6/21
Other key dates:
- HRMS freeze (hire information to be in by this date) begins April 25th
- New Non-employee NID creation is limited beginning June 1st
- HRMS blackout and NO new NIDs allowed beginning June 11th
- No new grants or budget adjustments beginning June 11th until after July 6th
- RMS/Workday integrations go live July 19th (tentative)
- Grant balances will be unavailable from July 1 to mid-August (est.)
- Payroll Cost Transfers will not be allowed to cross fiscal years and must be completed by June 11th

The Master of Science in Applied Health Behavior Research Program offers a variety of courses to open enrollment students are designed for professionals who wish to gain a wider perspective of how health behaviors impact clinical outcomes (see AHBR Courses).
Registration Open – Introduction to MDClone Workshops
Webinars on MDClone, the new campus resource from the Institute for Informatics’ Center for Population Health Informatics, are now available. MDClone is a free, secure, self-service platform for building queries and downloading computationally derived (“synthetic”) electronic medical record data from the I² Research Data Core (RDC) (see MDClone).
